Position Title: Part-Time Archival Assistant

Supervisor: Manager, Image Collections and Fieldwork Archives

Department: Library

Grade: N/A, casual part-time temporary position

Hours: 15-17 hours per week

Pay Rate: $15 per hour



The Image Collections and Fieldwork Archives (ICFA) at Dumbarton Oaks consist of over 600,000 photographs on a variety of media, and over 300 linear feet of archival materials, all related to the fields of Byzantine and medieval studies, garden history and landscape architecture, and Pre-Columbian studies. The part-time Archival Assistant will assist ICFA staff with reference services, reproduction requests, and other ongoing administrative tasks pertaining to these collections.


Duties and Responsibilities

  • Assist Dumbarton Oaks researchers and staff during onsite visits to the ICFA reading room
  • Respond to reference queries and photo requests both onsite and via email
  • Fulfill reproduction requests by locating requested images in the collection, checking their copyright status, determining the specifications for digitization, and digitizing the images using a flat-bed scanner and/or digital SLR camera
  • Conduct preliminary archival processing of ICFA collections such as rehousing or inventorying materials as needed
  • Provide administrative support to ICFA staff and other related duties as assigned and as time permits



Required qualifications

  • Bachelor’s degree in art history or humanities
  • Demonstrated ability to collaborate with team members, as well as to work independently
  • Attention to detail and ability to meet deadlines
  • Ability to communicate effectively, both orally and in writing
  • Proficiency with Microsoft Office, relational databases, and computerized library systems

Preferred qualifications

  • Prior experience working with archival or library special collections materials
  • Graduate coursework in library and information sciences
  • Experience digitizing or working with different photographic media (e.g. transparencies, negatives, prints)

Physical Demands

The physical requirements of this position relate primarily to collections shelved in an archives and work done in an office environment. The incumbent should be able to bend, stoop, and reach to retrieve archival boxes, lift and carry up to 10 pounds frequently and up to 20 pounds occasionally. This position requires the ability to sit for extended periods of time associated with working at a desk with a computer and monitor.

The part-time Archival Assistant must be able to work 15-17 hours over three or four days each week. Work schedule is between 9:00 a.m. and 5:00 p.m., Monday – Friday.  Exact schedule is negotiated between the successful applicant and the position supervisor.
